What we process, why, and for how long

Evental Media GDPR Telvi Broadcast
Version: 1.0 Last changed: 16 August 2026 Controller: Evental Media
Translation This is a translation of the Dutch text. Where the two differ in interpretation, the Dutch version prevails.

Telvi Broadcast runs on your own equipment. As a result, the vast majority of your data never reaches us at all. This statement describes exactly what does come our way, and what we do with it.

1Who is responsible

Telvi Broadcast is a product of Evental Media. For the processing described in this statement, Evental Media is the controller.

We have not appointed a data protection officer; that is not required for an organisation of this size with this kind of processing. Privacy questions reach us at the email address above.

2In short

3What we specifically do not receive

This may well be the most important part of this statement. The following stays entirely on your own Telvi Drive and is never sent to us:

Telvi has no built-in telemetry: the software sends us no usage statistics, no crash reports and no information about the content of your broadcast.

4What we do process

Customer portal (my.eventalmedia.com)

DataExplanation
Name and email addressTo create your account and communicate with you.
Organisation and contact detailsTo link the licence to the right party.
Login detailsWe store your password encrypted (hashed); we cannot read it.
Licences and ordersWhich products you take, how many seats, and until when.

Licence checks

Each installation reports periodically to our licence service. The following is processed:

DataExplanation
Licence codeTo determine whether the licence is valid.
Device idA code derived from the computer, so that one computer uses one seat. We cannot derive a person from it and use it for nothing else.
Product name and versionTo determine which product is reporting and which update applies.
IP address and timestampUnavoidably included in any internet request and recorded in our server logs. We use it only for security and detecting misuse.

Update facility

Checking for and downloading updates processes the same data as the licence check: the licence code, the device id and the requested version.

Contact and support

If you contact us, we process what you send us: your name, email address and the content of your message, including any log files you attach. Please do not send us data you do not need to share.

5Why, and on what legal basis

PurposeLegal basis
Managing your account and licence, supplying the software and offering updatesPerformance of the contract with you
Checking whether a licence is valid and whether the number of seats is correctPerformance of the contract, and our legitimate interest in preventing licence misuse
Securing our services and detecting misuseLegitimate interest
Answering your questions and providing supportPerformance of the contract, or legitimate interest for a pre-sales question
Keeping invoicesLegal obligation (tax retention duty)

We do not take decisions based solely on automated processing that produce legal effects for you. The licence check does automatically determine whether software runs, but that follows directly from the contract and is traceable for you in the customer portal.

6How long we keep data

DataRetention period
Account details in the customer portalFor as long as your account exists. If you delete the account, this data is deleted immediately.
Licence and device dataFor as long as the licence runs. Deleted together with the account.
Server logs of the licence and update servicesNinety days, after which they are deleted.
Email correspondenceTwenty-four months after the last contact, unless it concerns an ongoing matter.
Invoices and accountsSeven years, under the tax retention duty

7Who else sees your data

We host everything ourselves. The customer portal, the licence service and the update facility run on our own servers. So there is no hosting provider in between that gets to see your data.

We do not provide your data to third parties. Only where it is unavoidable for running the business do we engage a service provider, and then only under a data processing agreement:

PartyFor what
Fexxio
fexxio.net
Our email service: sending and receiving email, including your support questions
Moneybird
moneybird.nl
Our accounting: producing, sending and retaining invoices

In addition, we provide data where the law obliges us to, for example to the tax authorities or under a court order.

8Transfers outside the EEA

Our own servers are located in the Netherlands. We do not transfer your data to countries outside the European Economic Area. Should that become necessary in future, we would only do so with appropriate safeguards, such as an adequacy decision of the European Commission or standard contractual clauses, and we would update this statement.

9Security

If you suspect a security problem in Telvi or in our services, please report it to info@eventalmedia.com. We take such reports seriously and treat those who make them with care.

10Your rights

You have the right to:

You can do much of this yourself in the customer portal. If that does not work, send a message to info@eventalmedia.com. We respond within one month. To prevent us disclosing data to the wrong person, we may ask you to identify yourself.

Careful when deleting If you delete your account, your licence data goes with it. The software will no longer be able to activate. So only do this once you have stopped using Telvi.

11Your own role as controller

If you process personal data with Telvi yourself, you are the controller for that. Think of:

That data is on your own Telvi Drive. We have no access to it and do not process it on your behalf, so a data processing agreement is not required for it. If you believe your situation differs, please contact us.

12Filing a complaint

If you are unhappy with how we handle your data, please tell us first; we would like to put it right. You also always have the right to lodge a complaint with the Dutch Data Protection Authority via autoriteitpersoonsgegevens.nl, or with the supervisory authority in your own country.
